Situation A · Without corporate infrastructure
Personal or generic emails, files on individual devices, no access policy. When someone leaves, part of the business goes with the person.
Signals
Domain, corporate email and collaboration: configured from the start and operated month to month. Licenses included.

Almost every company arrives from one of these two points. The process adapts to yours.
Personal or generic emails, files on individual devices, no access policy. When someone leaves, part of the business goes with the person.
Signals
There's a domain and possibly Microsoft 365 or Google Workspace, but the implementation was minimal. Underused licenses, emails going to spam, no MFA and intermittent administration.
Signals
In either case, the first step is the diagnosis. It defines what's there, what's wrong and what gets built. On that, we agree on scope.
Three components that form a single environment. They don't get implemented separately.
Why it matters: Without those records, your email goes to spam or gets spoofed. Most implementations leave this half-done.
Why it matters: The company keeps control of the account when the person leaves.
Why it matters: Files on individual PCs belong to that person, not the company. When they leave, so does the file.
Implemented with Microsoft 365 or Google Workspace, per your ecosystem. In companies, Microsoft 365 carries more weight thanks to its integration with Office, SharePoint and Teams. If you already run on Google, same governance standard.
Clear boundaries prevent misunderstandings. These scopes are not part of the base plan.
Computers, printers, routers, cabling and phones are out of scope. We point you toward who resolves it.
We deliver an applied guide and ongoing support. Academies for large teams are quoted separately.
MDM, Intune, DLP and endpoint security are add-ons, not part of the base plan.
Power Apps, Power Automate, Power BI or integrations with external systems belong to Operational AI or Custom Software. See Operational AI
We don't take improvised environments without prior diagnosis. If you've already implemented something, we start by auditing it.
Four phases with a concrete deliverable. We don't move forward without verifying the previous one.
We audit domain, DNS, email, permissions and structure. We define what gets reconfigured and what gets built from scratch.
State report and agreed plan with scope and timing.
Tenant and domain configured, DNS verified, users with roles, MFA active, initial document structure and backup.
Verified environment with confirmed setup checklist.
Email migration if applicable, activation with day-to-day users, delivery of the guide and final setup verification.
Environment in operation and guide delivered to the team.
Incident support (email, access, permissions), formal onboarding and offboarding, basic changes, monitoring and domain administration.
Ongoing operations with Smartbiz365 as the responsible party.
Activated when they add value, not by default.
Device control and endpoint policies.
When internal policy or regulation asks for more than the standard.
Signing documents digitally with legal validity.
Team access centrally managed.
For teams without an active protection solution.
Microsoft 365 or Google Workspace per the chosen plan and users.
Corporate operating system with formal license.
Add-ons are identified in the diagnosis or activated during operations based on what changes in your company.
Two patterns we see often in companies of 10 to 40 people.
Before
12 people with personal Gmail, files on WhatsApp and PCs. When someone leaves, their email and files go with them.
After Workplace Digital
Corporate email with your own domain, MFA active, files in a shared structure with permissions by area and a formal offboarding process. Whoever leaves, leaves; the information stays.
Before
Microsoft 365 from two years ago. Emails going to spam due to incomplete DNS, scattered SharePoint, no MFA and intermittent administration.
After Workplace Digital
Verified DNS, MFA for all, SharePoint with permissions by role and Smartbiz365 as the operational owner. There's someone to call when something fails.
We publish the reference price. The exact cost gets closed in the diagnosis.
Initial setup
Diagnosis, configuration and implementation. In small projects without prior data, setup can be integrated into the first months of subscription. With migration or many users, it has its own value based on the load.
Monthly operation
Base plan; the final depends on licensing and active add-ons. Includes incidents, formal onboarding and offboarding, basic changes, monitoring and domain administration.
Alternative modality · Monthly commitment without term: per-user price slightly higher for the flexibility of leaving any month. You can migrate to annual whenever you want. Microsoft 365 or Google Workspace licenses are managed within the plan, not a separate charge.
