Is this service right for you?

Filter before you move on. If your company recognizes itself in any of these signals, keep reading. If not, we'll point you to another service.

Signals that your company needs it

Signals that your company needs it

  • Your company uses personal emails (Gmail, Hotmail) for business communication.
  • Files live on PCs, WhatsApp, USB drives or folders without defined permissions.
  • You have Microsoft 365 or Google Workspace, but no one configured it properly.
  • You don't have a corporate domain, or you have one without active email.
  • When someone leaves the team, their email and files go with them.
You probably need another service

You probably need another service

  • You already operate with Microsoft 365 or Google Workspace properly configured, MFA active and document structure in order. If you want to audit it, let's talk.
  • What you need is automating processes, implementing AI or building a custom system. That's Operational AI
Diagnosis

What's your situation today?

Almost every company arrives from one of these two points. The process adapts to yours.

Situation A · Without corporate infrastructure

Personal or generic emails, files on individual devices, no access policy. When someone leaves, part of the business goes with the person.

Signals

Email on @gmail.com or @hotmail.com.Documents on each employee's PC or shared via WhatsApp.Everyone has access to everything (or nobody knows who has what). No formal offboarding process when someone leaves.

Situation B · Something implemented, but without structure

There's a domain and possibly Microsoft 365 or Google Workspace, but the implementation was minimal. Underused licenses, emails going to spam, no MFA and intermittent administration.

Signals

The team keeps using Gmail out of habit.Nobody knows whether SPF, DKIM or DMARC are properly configured.SharePoint and OneDrive work as dumping grounds without structure. No MFA active on critical accounts. You don't know precisely who has access to what within your own environment.

In either case, the first step is the diagnosis. It defines what's there, what's wrong and what gets built. On that, we agree on scope.

What we implement

What we implement and operate.

Three components that form a single environment. They don't get implemented separately.

Component 01

Domain and Corporate Identity

  • Registration and management of the corporate domain.
  • Complete DNS configuration: MX, SPF, DKIM, DMARC.
  • Renewals, configuration changes and ongoing auditing.

Why it matters: Without those records, your email goes to spam or gets spoofed. Most implementations leave this half-done.

Component 02

Corporate Email with Continuity

  • Email with your domain for each person.
  • Formal onboarding and offboarding, aliases and groups.
  • MFA as security standard, not as an option.
  • Recovery controls, backup and retention.
  • Shared mailboxes by area (accounting@, sales@, support@).

Why it matters: The company keeps control of the account when the person leaves.

Component 03

Digital Office

  • Document structure by area (personal, shared, general).
  • Permissions configured by role.
  • Collaboration channels (Teams or equivalent) with minimum usage practices.
  • Applied adoption guide, not an academy.

Why it matters: Files on individual PCs belong to that person, not the company. When they leave, so does the file.

Implemented with Microsoft 365 or Google Workspace, per your ecosystem. In companies, Microsoft 365 carries more weight thanks to its integration with Office, SharePoint and Teams. If you already run on Google, same governance standard.

Clear boundaries

What this service is not.

Clear boundaries prevent misunderstandings. These scopes are not part of the base plan.

Hardware and local network

Computers, printers, routers, cabling and phones are out of scope. We point you toward who resolves it.

Mass training

We deliver an applied guide and ongoing support. Academies for large teams are quoted separately.

Advanced security

MDM, Intune, DLP and endpoint security are add-ons, not part of the base plan.

Development and integrations

Power Apps, Power Automate, Power BI or integrations with external systems belong to Operational AI or Custom Software. See Operational AI

Administration of environments without standard

We don't take improvised environments without prior diagnosis. If you've already implemented something, we start by auditing it.

Method

How it gets implemented.

Four phases with a concrete deliverable. We don't move forward without verifying the previous one.

Phase 0

Diagnosis

We audit domain, DNS, email, permissions and structure. We define what gets reconfigured and what gets built from scratch.

State report and agreed plan with scope and timing.

Phase 1

Configuration and Setup

Tenant and domain configured, DNS verified, users with roles, MFA active, initial document structure and backup.

Verified environment with confirmed setup checklist.

Phase 2

Activation and Adoption

Email migration if applicable, activation with day-to-day users, delivery of the guide and final setup verification.

Environment in operation and guide delivered to the team.

Phase 3

Monthly Operations

Incident support (email, access, permissions), formal onboarding and offboarding, basic changes, monitoring and domain administration.

Ongoing operations with Smartbiz365 as the responsible party.

Add-ons

Add-ons based on what you need.

Activated when they add value, not by default.

Advanced security (MDM / Intune / DLP)

Device control and endpoint policies.

Backup / extended retention

When internal policy or regulation asks for more than the standard.

Electronic signature

Signing documents digitally with legal validity.

Corporate password manager

Team access centrally managed.

Antivirus / endpoint protection

For teams without an active protection solution.

Additional licenses

Microsoft 365 or Google Workspace per the chosen plan and users.

Windows licensing

Corporate operating system with formal license.

Add-ons are identified in the diagnosis or activated during operations based on what changes in your company.

In practice

What changes, in concrete terms.

Two patterns we see often in companies of 10 to 40 people.

Pattern A · From personal email to corporate environment

Before

12 people with personal Gmail, files on WhatsApp and PCs. When someone leaves, their email and files go with them.

After Workplace Digital

Corporate email with your own domain, MFA active, files in a shared structure with permissions by area and a formal offboarding process. Whoever leaves, leaves; the information stays.

Pattern B · From purchased licenses to an environment that works

Before

Microsoft 365 from two years ago. Emails going to spam due to incomplete DNS, scattered SharePoint, no MFA and intermittent administration.

After Workplace Digital

Verified DNS, MFA for all, SharePoint with permissions by role and Smartbiz365 as the operational owner. There's someone to call when something fails.

Investment

Investment and service model.

We publish the reference price. The exact cost gets closed in the diagnosis.

Initial setup

Initial setup

Based on size and complexity

Diagnosis, configuration and implementation. In small projects without prior data, setup can be integrated into the first months of subscription. With migration or many users, it has its own value based on the load.

Monthly operation

Monthly operations

From $5.50 USD per user / month + IVA

Base plan; the final depends on licensing and active add-ons. Includes incidents, formal onboarding and offboarding, basic changes, monitoring and domain administration.

Alternative modality · Monthly commitment without term: per-user price slightly higher for the flexibility of leaving any month. You can migrate to annual whenever you want. Microsoft 365 or Google Workspace licenses are managed within the plan, not a separate charge.

Tell us what you have today and where the problems are. The diagnosis is the first step.

Frequently asked questions

Frequently asked questions about Workplace Digital.

Is this only licenses or also implementation?
Full implementation: diagnosis, configuration, activation, adoption and monthly operations. Licenses are managed within the plan.
What does monthly support include?
Environment incidents (email, access, permissions), basic changes and formal onboarding/offboarding. Doesn't cover development or extended training.
What happens when someone leaves the company?
Their email stays under company control and the files remain in the environment. Access is closed; the information stays.
Can it be implemented with Google Workspace?
Yes. Microsoft 365 carries more weight in companies thanks to its ecosystem (Office, SharePoint, Teams); with Google, same governance standard.
What's the recommended payment modality?
Annual commitment with monthly billing: you pay month to month over 12 months. Better per-user price, same logic Microsoft uses in its plans.
Does it include backup and data recovery?
Yes, as standard. For extended retention by internal policy or regulation, it's activated as an add-on.
Do you have any certification or partner level with Microsoft?
We operate as a CSP (Cloud Solution Provider): we manage licenses directly and have access to Microsoft technical support. For you: there's a formal technical owner for your environment.
What if I already have Microsoft 365 bought directly?
We review it in the diagnosis. We define what stays and what gets reconfigured. The handover to the CSP scheme is managed there.
Can it be connected later with Operational AI?
Yes, it's the natural evolution. Workplace leaves SharePoint organized, permissions by role and functional collaboration. On that base, Operational AI enters without friction.
What countries do you operate in?
Based in Ecuador. We operate remotely for companies across Latin America. 100% digital.

Is your company still operating
on personal email?

The first step is the diagnosis. We review what exists, what changes and what we implement, before committing anything. No blind budgets.
